AI receptionists
AI Applied To Day To Day Business Tasks
Set up within your existing phone system to manage calls, transcribe conversations and support the way your business already works.
Calls Answered, Not Missed
An automated call handling assistant built into your phone system. It answers calls when your team is busy or unavailable, directs callers and records basic information so enquiries are not missed.
Conversations As Text
Calls and voicemails are written out as text so they can be read quickly instead of replayed. Messages are easier to review, search and refer back to, which saves time and makes details clearer.
Scoped To Your Business
We look at how your team works and where time is being lost. Specific tasks are reviewed to see where AI could help in a practical way, with any use mapped carefully and kept aligned to how the business already operates.
How it handles a call
A Complete Enquiry, Start To Finish
The caller does not have to say a particular phrase, work through a menu or repeat themselves. They explain what they need and it is handled, the same way a good receptionist would handle it.
- Understands accents, background noise and callers who trail off mid sentence
- Can be interrupted, so callers can speak over it without breaking the conversation
- Knows your opening hours, your service area and what you do not cover
- Passes anything unusual to a person instead of guessing
Illustrative transcript.
AI solutions
What Are AI Receptionists?
In many businesses, calls are missed, messages need replaying, and details get lost in the middle of a busy day. AI is used to help with those gaps by taking care of specific tasks within systems you already use, such as your phone system. It can answer calls, turn conversations into text and support agreed ways of working, helping reduce manual effort and make everyday activity easier to keep track of.
Calls can be handled automatically when the team is busy or out of hours, covering common enquiries and collecting basic information from callers.
Transcription turns calls and voicemails into written records that can be reviewed, searched and referred back to when needed, avoiding the need to replay recordings or take separate notes.
Where it makes sense, AI can be applied to support a specific task or workflow. It is set up within existing systems, keeping things clear and controlled.
Getting started
Live Within A Week, Without Changing Your Number
We Listen To How You Answer Now
Your greeting, the questions you always ask a new caller, the work you take on and the work you turn down. The script is built from how your best person already handles a call.
We Connect The Diary
Google Calendar, Microsoft 365 or your job management system. Bookings are made against real availability, respecting travel time and existing commitments.
We Point The Calls
Out of hours only, overflow only, or everything. Your published number does not change. If you are already on our phone system it is a configuration change rather than a new service.
We Review It With You
You see every transcript. Anything handled poorly is corrected and the correction sticks. After the first couple of weeks it reflects how your business actually speaks to customers.
Who it suits
Businesses Where The Phone Is The Front Door
If your customers call rather than fill in a form, and your team cannot always answer, this is the gap it fills.
Plumbing, Electrical, Heating
Calls arrive while you are on a job. Urgent work is triaged and escalated, everything else is booked for the morning.
Dental, Physio, Veterinary
Appointment booking, rescheduling and cancellations without pulling somebody off the front desk mid treatment.
Estate And Letting Agents
Viewing requests captured in the evening, when people actually call about houses, and in the diary before a competitor opens.
Garages And Dealers
Service and NCT bookings taken by registration, parts enquiries logged, and the phone answered while the workshop is loud.
Common questions
Frequently Asked Questions
Will callers know it is not a person?
That is your decision rather than something hidden. Most setups introduce it plainly as an automated assistant that can take bookings and messages. Callers are generally far less bothered by that than by reaching voicemail late in the evening.
What happens when it does not understand?
It stops rather than guessing. Depending on the rules you set, it transfers to a mobile, takes a message and flags it as urgent, or offers a call back window. It is built to hand over, because a wrong booking costs more than a missed one.
Where is the call data stored?
Calls, recordings and transcripts are processed and stored inside the EU. You set the retention period, individual calls can be deleted, and we will sign a data processing agreement.
Can it take payments?
Not card details, deliberately. Where a payment is needed it sends a secure payment link by text instead, which keeps card data out of the call entirely.
Does it replace our receptionist?
Usually it covers the hours a receptionist is not there, and the calls arriving while they are already on another call. Most businesses keep their people and stop losing the overflow.
Does it work with our existing phone system?
It is set up within the phone system you already use. If you are with another provider it can usually be reached by diverting a number, so nothing about your published contact details changes.
Find Out How Many Calls You Are Missing
We will review call activity on your existing lines and show you what is being missed before you spend anything.
